4. Complaint Letter (Semi-formal)

One of the employees in your team regularly comes to work with an untidy appearance. You must write a letter to ask him/ her to improve his/ her appearance for work.


In your letter:

  • explain what the problem is

  • say why an untidy appearance is not acceptable

  • suggest how he/ she can improve his/ her appearance

Model Answer:


Dear Mr John Humphries,


The reason I am writing to you is to express my dissatisfaction with your appearance at work recently. It has come to my attention that you are regularly arriving at work with inappropriate, unkempt, and sometimes even dirty clothes.


As I'm sure you are aware, we regularly receive visits from current and potential clients, and for this reason the company has a dress code that all employees are required to follow as well as an expectation that staff be well-groomed. If a customer saw one of our employees dressed in old and scruffy clothes, such as you often wear, it could have a negative impact on the company image. I don’t need to remind you that first impressions are very important.


I would like to ask you to improve your appearance immediately. In order to meet company expectations, you should come to work with a clean-cut appearance, wearing a suit, shirt and tie, and with smart black or brown shoes. The aim is not to turn heads, so please avoid garish colours. It is also necessary to ensure that your hair is neatly brushed and your beard or stubble is well-trimmed.
